FATEC GROUP is responsible for processing your personal data and respects your rights regarding personal data protection. The FATEC GROUP website is dedicated to the fleet management business and aims to offer services to facilitate vehicle tracking for client companies and drivers. Certain website features also allow you to contact our company to discuss a project or submit an application.

2. HOW DO WE USE YOUR DATA AND ON WHAT LEGAL BASIS?

The personal data collected will be processed for the specific purposes detailed in this paragraph. Each purpose is justified by a specific legal basis that authorizes the processing of personal data. Below you will find an indication of each purpose and its associated legal basis.

  • ALLOW CONNECTIONS TO THE INTERNET APPLICATION

To ensure a stable connection to the website and the normal operation of network protocols, certain browsing data will be used. We pursue this purpose in order to provide a service requested by the user (Art. 6(1)(b) of the GDPR).

  • CREATION AND USE OF THE USER ACCOUNT

If you decide to create a user account in the FATEC GROUP tools available on the site such as Copilot and Mobipilot, the data provided will be used to generate the user account, provide online services and give the possibility to contact the Company online, in order to perform a service requested by the user (art. 6(1)(b) of the GDPR).

  • INITIAL CONTACT

If you wish to be contacted by the company to discuss your project, the information provided will be used to perform a service requested by the user (Art. 6(1)(b) of the GDPR). 

  • APPLICATION SUBMISSION

If you wish to submit an unsolicited application for a job opening, you can access the "Join Us" section and provide your contact information and a CV. The data provided will be used to perform a service requested by the user (Art. 6(1)(b) of the GDPR). 

  • ENSURING THE SECURITY OF THE INTERNET APPLICATION

To ensure the security and maintenance of the website, we may need to access stored browsing data, for example, if we need to identify illegal behavior or based on a report. We carry out this processing on the basis of the legitimate interest of the data controller (Art. 6(1)(f) GDPR).

6. WHO HAS ACCESS TO YOUR DATA?

Your personal data is processed directly by FATEC GROUP, its employees, or other specifically authorized and trained personnel, acting as qualified staff, as well as by expressly authorized external companies that perform various services on behalf of our company. These external companies act as subcontractors under detailed contractual agreements (for example, companies providing IT services, services related to the operation of the website and the services offered, administrative or legal services), solely for the purposes defined in this privacy policy. These subcontractors are committed to complying with the law and are not authorized to use your personal data for any other purpose. They employ appropriate technical and organizational security measures to protect your personal data in accordance with the law. FATEC GROUP is committed to ensuring that only authorized personnel have access to your personal data and that they guarantee its confidentiality, integrity, and availability. The data is not transferred to third parties for commercial purposes and is not disseminated under any circumstances.

7. HOW LONG IS YOUR DATA KEPT?

Your personal data is kept for the time necessary to pursue the purposes described above, and in any event in accordance with the terms applicable by law or, in the cases provided for for the protection of the rights of the data controller.

Some browsing data is only kept for the duration of the browsing session; the storage duration of cookies is specifically described in the Cookie Management Policy .

The data collected for the creation of a user account is stored for the entire duration of the account's use and is deleted upon its termination. Furthermore, the user may request the deletion of their account at any time.

The data collected for project exchanges is kept for the time necessary to process our response and is then deleted. The data collected during a job application is kept for the time necessary to search for staff for a given profile and is then deleted.

Data relating to the performance of legal obligations: until the moment when the legal obligation ceases or when the legal action is concluded.

8. INTERNATIONAL DATA TRANSFERS

FATEC GROUP hosts personal data within the European Union, and its subcontractors are rigorously selected within the European Union. However, for certain services, some subcontractors may be based outside the European Union. TELEPHONE RECORDINGS PRIVACY POLICY

As part of the company's regulatory update with the General Data Protection Regulation » 2016/679 (“GDPR”), you will find attached the privacy policy relating to the activity of recording telephone communications made during your contacts with the company FATEC GROUP.

1. DATA CONTROLLER

In accordance with Articles 13 and 14 of EU Regulation 2016/679 (“GDPR”), we wish to inform you that FATEC Group, as data controller (hereinafter “Company” or “Controller”), makes recordings of professional telephone calls in compliance with the “General Data Protection Regulation” (“GDPR”) (EU) 2016/679 and the law of 20 June 2018 which adapts the “Data Protection Act” of 6 January 1978 to the GDPR.

During registration, the third party may provide health data or other special categories of data that are not necessary for the intended data processing. In such cases, this type of information is immediately deleted.

6. DATA RETENTION PERIOD

The Company retains telephone recordings for the period necessary to achieve the purposes described in this information document and in any event in accordance with the terms applicable by law for a maximum period of 30 days from their collection.

By way of exception, the Company may be required to retain your personal data for a longer period, in accordance with what is permitted by applicable law, or to the extent necessary to protect its rights and interests, or upon judicial request.

7. DATA PROCESSING METHODS

The data controller takes all necessary precautions to preserve the security of data and sound recordings and ensures the implementation of physical and logical protection measures to preserve the security of information recorded in the processing operations implemented and to prevent any unauthorized or fraudulent access to or use thereof, in particular by unauthorized third parties.

The Company has implemented security procedures that comply with European legal and regulatory requirements for the storage and disclosure of data in order to prevent unauthorized access, alteration, and accidental loss. We limit access to personal data to those who genuinely need it for professional reasons, such as staff responsible for training and service evaluation for quality improvement purposes. Individuals who access personal data are bound by a duty of confidentiality.

8. RECIPIENTS AND CATEGORIES OF RECIPIENTS OF DATA

The processing is carried out directly by the Company, through duly authorized and trained personnel acting as data processors, and by external companies that perform various types of services on behalf of the Company, acting as data processors such as hosting or analyzing records. These service providers are subject to strict contractual obligations regarding security and confidentiality.

The company ensures, through written commitments, that its subcontractors provide appropriate guarantees to ensure the protection of personal data whose processing is entrusted to them.

Recording telephone conversations is optional and depends on your decision; however, the processing activities defined in this information document can only be carried out if the recording has been made.
